Automated Client Billing Dashboard for NovaCraft Studios

A small Amsterdam creative agency was juggling Harvest for time tracking, Stripe for payments, and Notion for project management — none of which talked to each other. We connected them all into an automated billing dashboard.

The Challenge

NovaCraft's 6-person team was losing billable hours because time entries in Harvest weren't being converted to invoices on time. Chasing payments from clients took another 4 hours per week. By the time invoices went out, some were 3–4 weeks late, causing €8K/month in delayed cash flow.

Our Solution

We built an integration dashboard that reads time entries from Harvest, groups them by client and project, and auto-generates Stripe invoices when a project milestone is completed or a monthly threshold is hit. Overdue invoices trigger automated reminder emails. The Notion project board syncs status so the team always knows which projects are billable and which are pending payment.
